How I run payroll while travelling - The realities behind the dream

When I started Bookkeeping and Payroll Office, one of my biggest motivators was freedom. Freedom to serve clients on my own terms, and freedom to explore the world while doing meaningful work.

Over the years, I’ve visited 20 countries - from European cities and Mexican shores to the Rocky Mountains in Colorado, where I just returned from a week of hiking, exploring, and yes… processing payroll.

Running a remote business sounds glamorous (and sometimes it is), but when it’s payroll week and you’re 7 hours behind your UK-based clients, reality kicks in. Here’s how I make it work - and why I wouldn’t trade it for anything.

1.🌍Time-Zone Planning is Everything

Before I go anywhere, I check the time zone difference and map out the key client deadlines. For payroll weeks, this means:

  • Pre-scheduling as much as possible
  • Setting UK alarms (hello 3 a.m. mountain time!)
  • Keeping calendars in both zones to avoid confusion

2. 🧠 Routine + Flexibility = Survival

I stick to a solid structure, even when I’m in a new country. A typical “travel day” might include:

  • Early morning admin
  • A mid-morning hike or exploration
  • Afternoon payroll task
  • Evening client updates

This routine keeps me grounded, productive, and present — both in my work and in my travels.

3. 💻 Tools That Make It Possible

Running remote practice wouldn’t be doable without cloud-based systems. I rely on cloud-based accounting and payroll software like QuickBooks, Xero and FreshPay - all secure, reliable and built for working from anywhere.

My clients submit receipts and purchase invoices electronically using Google Workspace, Dext, or whatever digital tools best suit their workflow. Everything is streamlined through a secure online client portal, making document sharing and collaboration simple and safe.

For communication, I use Microsoft Teams and Zoom to stay connected with clients across time zones.

Keeping client data secure is non-negotiable. I use these systems to ensure your information stays protected - whether I’m in the office or on the other side of the world:

  • VPN access to encrypt internet connections while abroad, and I would never use open Wi-Fi
  • Two-factor authentication (2FA) across all platforms
  • Only GDPR-compliant tools that meet UK data protection standards


4. 💬 Client Trust is Key

Clear communication is essential. I always:

  • Let clients know when I’ll be away (and where)
  • Reassure them that systems are in place
  • Keep response times short - even from the Rockies

Because I’ve built strong trust with my clients, they know they can rely on me, even when I’m 5,000 miles away.

5. 🎯 Why It’s All Worth It
Yes, it’s a juggling act. But when I’m sipping coffee in a new place after filing payroll for a client back home, I feel immense gratitude. This lifestyle - location-flexible, purpose-driven - is exactly why I built my own practice.
